Key takeaways
- An action item needs a task, an owner and a due date, and a WhatsApp chat often gives only one or two of them.
- When the chat never named an owner or a date, mark it as missing and ask the group instead of guessing.
- Anyx AI Notes list who committed to what, and are designed to leave a due date empty rather than guess one.
- To act on an item, ask Anyx for a reminder in your private WhatsApp chat, and it is set up to confirm the details before saving.
To turn a WhatsApp conversation into action items, pull out every commitment and write it as a task with an owner and a due date. When the chat never named an owner or a date, mark it as missing and ask the group. A guessed date makes a tidy list that nobody actually agreed to.
Disclosure: this is the Anyx blog. The agency, the client and everyone in the chat below are fictional.
What counts as an action item in a WhatsApp chat?
An action item is a commitment: someone said they would do something. It has three parts:
- The task. A clear verb and object: “Send the first three designs”, not “designs”.
- The owner. The person who took it on, or who was asked and agreed.
- The due date. A date or a day that someone actually said, such as “Thursday”.
Decisions and questions look similar but are not tasks. A decision records what was agreed, like “we’re going with the green logo”. A question needs an answer before anyone can act.
In a chat, commitments are loose. “I’ll check”, “on it” and a thumbs-up on a request all count. “Soon”, “sometime next week” and “someone should” are where the gaps hide.
What does a busy client group look like?
Take a small, fictional marketing agency working with Olive Café on its autumn menu launch. You run the agency. In one morning, the group produced a decision, two questions and four commitments. Only one of those commitments has both an owner and a date.

How do you turn the chat into a task list by hand?
Read the conversation once, looking only for commitments. Then:
- Write each task as a verb and an object. “I’ll confirm them” becomes “Confirm the final menu prices”.
- Add an owner only if someone took it on. Tom said “I’ll send them”, so Tom owns the designs. Nobody took on the menu boards, so that owner is missing.
- Add a due date only if the chat gave one. “Thursday” counts. “Once I have the prices” is a dependency, not a date.
- Mark every gap as missing. Write “no owner” or “no date” next to the task. Don’t fill it in yourself.
- Move questions and decisions to their own list. The photographer question needs an answer, not a due date.
The result for the chat above:
| What the chat said | Action item | Owner | Due |
|---|---|---|---|
| Tom: “I’ll send them Thursday” | Send the first three designs | Tom | Thursday |
| Lior: “I’ll confirm them” | Confirm the final menu prices | Lior | Missing |
| Sara: “I’ll write the captions once I have the prices” | Write the post captions | Sara | Missing, waits for the prices |
| Lior: “Someone also needs to update the menu boards” | Update the menu boards in the branches | Missing | Missing |
Why should missing details stay marked as missing?
A guessed owner or date turns into a commitment nobody made. If you write “Lior, by Monday” and Lior never said Monday, the list looks complete, so nobody asks. On Monday you are chasing a deadline that only existed in your notes.
A marked gap does the opposite: it becomes a question you can ask. One short message to the group usually closes it:
Two items still have no date: the final prices and the captions. Lior, when can you confirm the prices? And who is updating the menu boards, us or your team?
It is also the polite version: people set their own dates.
How does Anyx write action items from a group?
Anyx AI Notes do the reading for you. You add Anyx to a WhatsApp group you manage, tag it once from your own number, and tell the members. Anyx then emails you one note per group, every 24 hours by default, or every 6, 12 or 48 hours, or weekly.
The Action items section lists who committed to what, with the due date if someone said one. Items can also include why they matter and a suggested next step. Anyx is designed to leave the due date empty, or ask to clarify, rather than guess a date the chat did not give.
A note for the Olive Café group could look like this:
Needs your attention
Who is booking the photographer for the dish photos?
Why it matters: The posts need dish photos, and the client wants them live before the 20th.
Suggested next step: Reply to Lior and agree on who books the shoot.
Decisions
The posts will use the green version of the logo.
Action items
Send the first three post designs
Confirm the final menu prices
Missing: No date was given in the chat
Write the post captions
Missing: No date. Waiting for the final prices
Update the menu boards in the branches
Missing: No owner and no date were given in the chat
Worth checking
Can the posts still go live before the 20th if the prices are confirmed late?
23 messages in this period. Based only on captured messages.
Two more things help with follow-up:
- Open items carry forward. Open questions and action items from the previous note carry forward until the group resolves them. Lior’s prices stay on the list until someone says they are confirmed.
- A passed deadline becomes a question. When a deadline has passed and no message says the task was done, Anyx asks you to confirm whether it was completed, instead of declaring it unfinished. Tom may have emailed the designs, and the group chat would not show it.
Notes are never posted to the group. To move the list into another tool, copy the note as Markdown or download it as a CSV file from your account. For how notes compare with other ways to summarize a group, see 4 ways to summarize a WhatsApp group chat.
How do you turn an action item into a reminder?
A task list helps only if someone looks at it on the right day. Your private WhatsApp chat with Anyx is the place for that.
In your Anyx account, every note has a Send to my WhatsApp button that sends it to your private chat. It arrives as a message, and nothing else happens until you ask. Pick an item with a date and ask for a reminder:
Remind me on Thursday at 17:00 to check that Tom sent the first three designs for Olive Café.
For an item with a missing date, don’t invent one. Set a reminder to ask for it:
Remind me tomorrow at 10:00 to ask Lior when the final menu prices will be ready.
Anyx is set up to confirm the details before it saves a reminder. You can also see, edit and pause reminders in Settings, under Proactive Tasks & Reminders (reminders and routines). Starter allows up to 30 one-time reminders at a time. Pro and Max have no fixed limit.
What are the limits?
- Only what was written in the group. Anyx only sees chats it is part of, from the moment it joined. A task agreed on a call, in person or in a private chat will not appear.
- A note is a draft, not a contract. Commitments in a chat are loose. Check important items against the conversation before you hold someone to them.
- Not instant. Notes arrive on your schedule, and the first one is processed on an upcoming scheduled run.
- Files are partial. Voice notes are transcribed. For images, documents and videos, Anyx uses what it can read, such as captions and extracted text.
- Group messages are stored. While Anyx is in a group, it stores that group’s messages. Pausing or removing it does not delete stored data; deletion is by request to support@anyx.app. Tell the group before you add it: our privacy checklist has a sample message.
- It is paid. Starter is $35 a month for up to 4 groups, Pro $60 for up to 30, and Max $120 for up to 120. New subscribers get a 7-day free trial.
FAQ
What counts as an action item in a WhatsApp chat?
A commitment someone made in the chat: a task, the person who will do it and, ideally, a due date. Decisions and questions are different. A decision records what was agreed, and a question needs an answer before anyone can act.
What does Anyx do when nobody gave a due date?
Anyx is designed to leave the due date empty, or ask to clarify, rather than guess a date the chat did not give. The item stays in the note, so you can ask the group.
Do open action items carry over to the next note?
Yes. Open questions and action items from the previous note carry forward until the group resolves them. When a deadline has passed and no message says the task was done, Anyx asks you to confirm whether it was completed.
Can I get a reminder for an action item?
Yes. In your private WhatsApp chat with Anyx, write what to remind you about and when, in plain words. Anyx is set up to confirm the details before it saves the reminder.
Will the group see the task list?
No. Notes go to your email and your Anyx account, and are never posted to the group. In a group, Anyx replies only when someone tags it, or when you set up a routine for that group.
