Project handover document: hand over a project run in WhatsApp

A project handover document for work managed in WhatsApp: confirmed decisions, open tasks and missing owners, with a template and an Anyx note for context.

By Michael Kisilenko · · 5 min read · Updated

Key takeaways

  • A useful handover explains what the next person needs to decide, check and do.
  • Separate confirmed decisions from proposals, and agreed owners from suggested owners.
  • An Anyx note can help reconstruct captured group discussions. Check it against the messages and add context from elsewhere.
  • Ask the incoming owner to acknowledge the handover. A summary does not transfer responsibility.

To hand over a project managed in WhatsApp, collect the relevant conversations, separate confirmed decisions from open questions, list each next action with its agreed owner and date, and review the brief with the incoming lead. An Anyx group note can help prepare the draft; people still verify the facts and accept responsibility.

What does the next project lead actually need?

A new lead rarely needs every message. They need enough context to make the next decision without reopening every previous one. A useful brief answers five questions: what are we delivering, what is settled, what is blocked, what happens next, and who can clarify the gaps?

This is different from a weekly status update. A status update describes progress. A handover must also explain why a decision was made, where to find the supporting information, and which responsibilities the next person has agreed to take on.

The Atlassian roles and responsibilities play recommends making responsibilities explicit, identifying unassigned work and agreeing ownership with the team. Apply that discipline to the brief: a name mentioned near a task is not necessarily its owner.

How do you prepare the handover from group messages?

  1. Define the scope

Name the project, the incoming lead and the period to review. List other sources needed, such as a supplier call or a shared document.

  2. Reconstruct the decisions

Read the relevant messages or generate an Anyx note for the date range. Separate decisions, proposals, unanswered questions and actions.

  3. Resolve missing details

Check original messages. Ask people to confirm unclear owners, deadlines and reported completion. Keep unresolved items visibly unresolved.

  4. Review and acknowledge

Share a reviewed brief through your chosen channel. Ask the incoming lead what they accept, what remains unclear and what they will do first.

Start with the last meaningful milestone rather than an arbitrary number of days. A short range may omit the decision that explains the current plan. A long range may bury the latest change. If the project spans several groups, review each separately and combine the verified points yourself.

For a manual handover, copy only the relevant messages into your working document and preserve enough context to check them later. Include the sender and date where useful. Do not treat a forwarded sentence without its surrounding discussion as a confirmed commitment.

How can an Anyx note help with the draft?

Open the group’s Notes tab and choose Generate notes for a date range. Select the period and choose Generate. The end of the range must be no later than now. The AI Notes settings describe this flow.

Use Decisions, Open questions, Unanswered and Action items as starting points for the handover. Anyx works from captured group messages. Add anything agreed by phone, in person or in another chat yourself. If the relevant discussion predates capture, the older conversation guide explains the text-import option and its limits.

Record both the covered dates and when you generated the note. Follow-ups are assessed at generation time; later captured messages may inform their status. A note for Monday through Thursday, generated on Friday, is not an immutable Thursday snapshot. That distinction matters when someone asks what was known before a deadline.

Review the result, then use Copy Markdown, download it as a .md or CSV file, or print and save it as PDF. These exports are described in the AI Notes overview. Edit the exported material into the brief below. Exporting does not grant anyone access to your Anyx account.

What should stay unresolved in the brief?

Imagine Noa is handing a fictional community event project to Amir. Dana manages the venue, while Ronen helps with suppliers. The group contains these messages:

Fictional conversation, for illustration
Community event planningFictional handover example
  1. NoaConfirmed: we will use the courtyard. The indoor hall stays our rain backup.Decision09:10
  2. DanaI will check the accessibility route by Thursday at 12:00.Task09:14
  3. RonenCould someone confirm whether the sound quote includes setup?Question09:18
  4. AmirI can review the handover tomorrow. I haven't accepted the supplier follow-up yet.Missing detail09:22

A draft should preserve the distinction between a question and an assigned action. Here is an illustrative note excerpt, not a promise of identical generated wording:

Decisions

  • Use the courtyard, with the indoor hall as the rain backup.

    Confirmed by Noa

Action items

  • Check the accessibility route.

owner: Dana · due: Thursday at 12:00

Open questions

  • Does the sound quote include setup?

Missing: No follow-up owner or deadline agreed

Fictional example. Review the original messages and later updates before sharing.

Do not rewrite the last item as “Amir must approve the sound quote on Thursday.” The messages establish neither that owner nor that deadline. Write “owner to confirm” and ask the team. Our action-items guide covers this distinction in more detail.

Which handover template can you copy?

Field What to write
Scope Project, covered dates, brief prepared at, outgoing and incoming lead
Current objective The next outcome the team is working toward
Confirmed decisions Decision, reason if known, source message or document
Next actions Action, agreed owner, agreed deadline, current evidence
Open questions Missing answer, who can clarify it, next check
Important sources Relevant documents and message references that the recipient may access
Acceptance What the incoming lead accepted and what still needs agreement

Keep the first version short enough to review together. Put background documents behind clear references. Check that the recipient can access those documents using your normal permission process; a link in the brief does not create access.

Review the export before forwarding it. Remove unrelated conversation details and keep only what the recipient needs for this project. This is an editing step you control, not an automatic redaction guarantee.

How do you know the handover is complete?

Ask the incoming lead to explain the next three actions in their own words. Record any corrections and agree who follows up on the unanswered questions. Completion means you have an acknowledged plan, not merely a delivered file.

Use this prompt with a reviewed brief pasted into your private chat with Anyx. The requested output is a draft for you to send:

Draft a handover acceptance message

Using only the reviewed brief below, draft a short message asking the incoming lead to confirm the responsibilities they accept and list anything still unclear. Preserve missing owners and dates. Do not send it or create tasks. Here is the brief: [paste reviewed brief]

Start with one project group. Produce one note, verify one open item against the conversation, and use it in the handover discussion. That is a useful first result even before you introduce reminders or a recurring reporting process.

Frequently asked questions

Can a WhatsApp summary replace a handover conversation?

It can prepare the conversation, but it cannot confirm that the incoming owner understands the work or accepts responsibility. Review the open items together and record what was agreed.

Can I generate an Anyx note for a specific handover period?

Yes. Use Generate notes for a date range in the group’s Notes tab. The end date cannot be later than now. Review the result before using it as a handover brief.

Is a date-range note an exact snapshot of the project at that time?

No. Follow-ups are assessed when the note is generated, and later captured messages may affect their status. Record the covered period and the generation time, then check the latest messages.

Does exporting a note transfer the Anyx account or group ownership?

No. Exporting shares a document you can review and send. Account access, group administration and acceptance of responsibilities are separate steps.
